Onboarding Video for SaaS Customer Education Teams, Without Re-Recording Everything Each Quarter

Most onboarding libraries get built once, in one heroic quarter, and then slowly go out of date. Producing them is manageable. Maintaining them is where it fails, because nobody knows which of the forty videos broke when the interface changed last month.

This is for you if

  • You have an academy, a help centre or an onboarding sequence that includes videos.
  • Some of those videos show an interface that no longer exists, and nobody is sure which ones.
  • Customer success repeats the same walkthrough on calls that could have been a link.
  • A sandbox or demo tenant exists that we can operate without touching customer data.

It is not, if

  • Your only environment is production, with real customer data in it.
  • Onboarding is tailored to each customer, and nothing repeats.

Maintenance is where libraries fail

Producing forty onboarding videos just takes money. Knowing which four went stale after Tuesday's release is something nobody has solved, and it is why libraries turn into a liability that customer success learns to work around.

Every video we produce records the build it ran against. When you ship, the tasks the changelog touched run again on the new build. A clean re-run republishes without fuss. A failed one comes to you with its log, which means a path your customers are being taught broke on release day, and you hear about it then instead of in a ticket next month.

Start with the kickoff calls

The most valuable onboarding videos are rarely the ones on the curriculum map. They are the three things your CS team explains on every kickoff call. Those explanations already exist and have proven they matter, so record those tasks first.

One run, several languages

Language is post-production on a single verified run, so an onboarding path recorded once can be narrated and captioned for every market you sell into without a second recording. Decide the languages before recording, and they are produced together.

Questions

How do we know which videos went stale?

Each video records the version it ran against, and the tasks your changelog touches are re-run on the new build. If a re-run fails, it comes to you with its log, before a customer finds the problem.

Can you work in our sandbox tenant?

Yes, that is the environment we prefer. We do not take production access.
