Where to Put Product Videos: Hosting and Sharing SaaS Demo Videos on Every Page, App and Channel

A B2B software video can live on the product page, in the docs, inside the app, in emails, in sales follow-ups, on a partner portal, on YouTube and on LinkedIn. What each place is good for, how the video is shown there, and how to host it so one recording serves all of them.

Put product videos where someone is already stuck on the question the video answers: the product page for buyers, the docs and the app for users, emails and sales follow-ups for people you already talk to, a partner portal for resellers, and YouTube and LinkedIn for people who have not found you yet. Host the file once, somewhere all of those places can play it. Give each place its own title and first line, and keep a list of where each video lives, so a release that changes the video changes it everywhere.

The product page and homepage

Buyers decide here whether the product does their job. Show one real task finished on the real product, not a montage of screens. Put a sentence beside the player saying what the video shows and which version it was recorded on, because some visitors will read it and never press play. Video SEO covers what the page needs around the player.

The docs or help centre

Docs are where a task video earns most, because the reader is mid-task. Embed one video per task beside the written steps, and make the steps match the video exactly. In Docusaurus, anything that looks like HTML inside a Markdown page is treated as JSX, so a player's embed code has to be written in JSX form (Docusaurus MDX docs, checked 15 October 2026).

Inside the app: tours, checklists and guides

In-app video suits short clips tied to the screen the user is on. Long walkthroughs belong in the docs, linked from the app. Check what your guide tool accepts before cutting the clip.

Intercom's video pointers in Product Tours take an uploaded MP4 only, up to 40MB, and play muted until clicked, so captions matter (Intercom help). Intercom Checklists also take an MP4 up to 40MB, shown at a fixed 4:3 ratio, so a widescreen recording may be cropped; iframe code from YouTube, Loom, Wistia or Vimeo pasted into a step shows as plain text (Intercom Checklists FAQs). Pendo's Video building block instead takes a URL from a listed provider such as YouTube, Vimeo, Wistia or Vidyard; mobile guides accept YouTube and Vimeo only, and autoplay is off (Pendo guide building blocks). All checked 15 October 2026. SaaS onboarding teams and onboarding videos cover which tasks deserve a clip.

Onboarding and nurture emails

Do not try to embed the video. Mailchimp's help says most email clients do not support embedded video, and a recipient who clicks the thumbnail watches in a separate browser window (Mailchimp help, checked 15 October 2026). Use a still of the screen where the task finishes, linked to the video. Point each email at the next task the user has not done.

Sales follow-ups

After a call, send the task the prospect asked about, not the homepage demo. An unlisted YouTube link works; a tracked copy on a video platform also tells the rep whether anyone watched. Product demo videos for sales outreach covers the message around the link, and stop repeating the same demo shows why recorded tasks save the sales engineer's week.

Partner portals

Partners need the same task videos your team uses, plus training they can repeat to their customers. On a Salesforce Experience Cloud portal using Salesforce CMS, video added from the rich text editor must be served over https from an approved domain, a list that includes youtube.com, player.vimeo.com, play.vidyard.com, players.brightcove.net and fast.wistia.net (Salesforce Help, checked 15 October 2026). A file on your own server is not on it, so choose the host before building portal pages. Channel partners covers what partner videos need to show.

YouTube or a private host?

YouTube is where people search for how to do a task in a named product, so public task videos belong there. YouTube's help says public videos can appear in search and related video lists; unlisted videos can be watched and shared by anyone with the link but stay out of search; private videos are seen only by people you invite by email (YouTube Help, checked 15 October 2026). Unlisted is a link setting, not access control.

A video platform gives you your own player, viewer-level analytics and gating. Wistia, for example, can put a form on the player that collects an email at a set time, with an optional Skip button (Wistia help, checked 15 October 2026). Never gate a task video in the docs.

Self-hosting means an MP4 on your own server or CDN, played with the browser's video element. Nothing third party loads, but you build the controls, captions, bandwidth handling and analytics yourself, and some tools above will not play it. A workable setup is two copies: public on YouTube for search, and on a video platform for the product page, the app and the portal.

LinkedIn

Upload the video natively, cut short, with captions, so it works with the sound off. LinkedIn's help sets a 10 minute maximum and a 5GB limit for Page videos, and no longer accepts MOV or AVI (LinkedIn Help, checked 15 October 2026). The post's first line does the work of a title. Social media video strategy for B2B software covers the cut for each network.

One recording, many places, one list

One recording of one task can serve the product page, the docs, a checklist step, a sales follow-up and the partner portal. What changes is the title and first line, written for the person in that place: "Restore a deleted VM from last night's backup" on the product page, "Step 3: choose the restore point" in the docs, the prospect's own question in the follow-up.

The cost is upkeep. When a release moves the button the video shows, every copy is wrong at once. Keep one list per video: where it lives, which host, which version. On release day, re-record the task once and replace it everywhere on the list. A video current on the product page and stale in the partner portal is a support ticket waiting to happen.

Where should I host SaaS demo videos?

On a host every place you need can play from. Usually that means YouTube for public task videos people search for, and a video platform for the product page, docs, app and partner portal, where you want your own player, analytics and the option to gate.

Can you embed a video in an email?

Not reliably. Most email clients do not play embedded video, so use a still from the video linked to a page where it plays.

How do I add a video to Intercom or Pendo?

Intercom tour pointers and checklist steps take an uploaded MP4 of up to 40MB. Pendo guides take a URL from a supported host such as YouTube, Vimeo, Wistia or Vidyard. Add captions either way.

Should product videos on YouTube be public or unlisted?

Public for task videos you want found in search. Unlisted for one prospect, customer or partner, remembering anyone with the link can share it. Private, or a gated platform, for anything that must stay inside a named group.

Send one product and one task. We record it once and deliver the video as an MP4 and on YouTube, public or unlisted, with the written steps, so it can go to every place on your list. The first sample is free.
